JOB SUMMARY

The Receptionist reports to the Program Director and is responsible for general secretarial and front desk duties

ESSENTIAL JOB RESPONSIBILITIES

  1. General receptionist and front desk duties including: Answering the telephone, greeting clients/guests, notifying staff when clients arrive for scheduled appointments, typing correspondence, maintaining files and case entries, preparing forms/documentation to send to the administrative office, and performing general office duties.
  2. Managing/scheduling the calendar for person served appointments, calling to remind them of their appointments and documenting contacts. Meet all walk-in person served and provide direction and information, scheduling accordingly.
  3. Possess strong data entry, organization and interpersonal skills.
  4. Ability to learn quickly new processes, procedures, and systems at FSC.
  5. Maintain program operations manuals and protocols.
  6. Responsible for updating, editing, and adding accurate information to electronic medical records as needed. Scan documents into the person served electronic medical record.
  7. Provide the Program Director and Supervising SUD Counselor with timely reports on any unusual occurrences that might impact the overall program operation or the health and safety of clients or employees.
  8. Think and act quickly and efficiently in emergencies.
  9. Will drive on company business as needed.
  10. Physical presence in the office is required.

ESSENTIAL JOB REQUIREMENTS

  1. High School diploma or GED.
  2. Two (2 years) of junior college with Business Administrative/Secretarial major or completion of secretarial course in accredited business school, preferred.
  3. Mental Health/Substance Use Disorder knowledge or experience working in a mental health clinic, preferred.
  4. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  5. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  6. Ability to pass a criminal background check.
  7. Ability to pass a pre-employment physical, drug screen, general physical, and TB test.
  8. Must maintain good relationships with current, future and past employees, co-workers, vendors, third party administrators, and others with whom the Agency is transacting business, and relate to them in a professional manner.

ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL

  1. Communicate effectively in written and spoken Spanish.
  2. Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
  3. Assist with phone calls for Spanish clients.
  4. Required to provide language translations for staff on a periodic basis.
  5. Minimal adequate competency in the Spanish language as evidenced by successful passage of the TPOCC Spanish Competency Test.
  6. Other translation tasks as required.

    • Monolingual: Class 98 ($16.30 - $19.83/hour)
    • Bilingual: Class 103 ($16.47 - $20.84/hour)
