JOB SUMMARY

The Fleet Services Specialist reports to the Chief Financial Officer and maintains agency fleet, insurance and asset records. The Fleet Services Specialist will be responsible for reconciling and maintaining the agency fleet and insurance files, reporting to department managers and insurance, coordinating vehicle purchases and leases, monitoring vehicle registrations, completing AP/AR tasks as needed, and performing clerical/administrative duties daily.

ESSENTIAL JOB RESPONSIBILITIES

  1. Maintain financial records and accounts using manual and/or automated systems.
  2. Ensures preventative maintenance program is followed on all fleet vehicles.
  3. Coordinates major repairs on company vehicles, contact insurance for approval/authorization.
  4. Coordinate vehicle leases, purchases and sales.
  5. Oversees fuel management program.
  6. Oversee agency property and vehicle insurance program.
  7. Monitor vehicle registrations and renewals.
  8. Monitor the Fleet Management and inventory system on a regular basis.
  9. Complete Accounts Payable and Accounts Receivable tasks as needed.
  10. Coordinate procedures and ensure existing administrative systems and processes to make team/branch/department more efficient.
  11. Support managers and employees through a variety of tasks related to the organization and communication on the project.
  12. Ensure drivers are authorized to drive and assign fuel pins as needed.
  13. Perform multiple clerical duties as well as billing and administration support/duties.
  14. Maintain professionalism and positive attitude in supporting team members/projects in a timely manner to meet team goals.
  15. Organize, schedule meetings and appointments or create calendars for team when needed.
  16. Conduct reporting/analysis of data when requested/necessary for the department/project needs.
  17. Prepare reports required by government agencies or mandated by grant terms.
  18. Will think and act quickly and efficiently in emergencies.
  19. Will drive on Agency business as needed.
  20. Physical presence at the office is required.

ESSENTIAL JOB REQUIREMENTS

  1. Two (2) years bookkeeping experience or equivalent education.
  2. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  3. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  4. Ability to pass a criminal background check.
  5. Ability to pass a pre-employment drug screen.
